You may opt out of non-essential communications at any time by:

Opting out of marketing communications will not affect your ability to receive transactional messages related to confirmed appointments.

WhatsApp and Email Communications

QuietMind uses WhatsApp and email as primary communication channels for appointment confirmations, intake forms, clinical updates, and service information. By providing your email id and phone number, you consent to receiving WhatsApp messages and emails from QuietMind. We use WhatsApp Business API in compliance with Meta’s policies. You may opt out of WhatsApp messages at any time by notifying us at contact@quietmind.in.

Confidentiality of Medical Information

All psychiatric consultations and clinical data are strictly confidential.

Medical information shared with QuietMind is:

  • Accessed only by authorised clinical professionals
  • Stored securely with restricted access
  • Not shared with employers, organisations, or third parties without your explicit consent
  • Not disclosed except where required by applicable law or court order

Self check-in responses are treated as sensitive health-adjacent information. They are stored securely, not linked to identifiable data without your active submission, and not used for purposes other than assessing fit for QuietMind services.

Legal Basis for Processing

QuietMind processes your personal data on the following bases under applicable Indian law, including the Digital Personal Data Protection Act, 2023:

  • Consent: You have provided explicit consent through form submission or service use
  • Contractual necessity: Processing is required to deliver a booked consultation or service
  • Legitimate interest: Processing is necessary for communicating service-related information relevant to your engagement with QuietMind
  • Legal obligation: Processing required by law or regulatory authority

For sensitive health data, we rely on explicit consent provided at the point of data collection.

Data Retention

We retain your personal data for as long as necessary to:

  • Deliver the services you have engaged with
  • Comply with legal and regulatory requirements
  • Maintain clinical records as required under Indian medical practice guidelines

Clinical consultation records are retained for a minimum of 7 years in accordance with standard medical record-keeping requirements. Non-clinical data (such as self check-in responses from users who did not book) is retained for a maximum of 24 months unless you request earlier deletion.

Data Storage and Security

We apply reasonable technical and organisational safeguards including:

  • Secure servers with restricted access
  • Encrypted communication where applicable
  • Role-based access controls for clinical information

No online system can guarantee absolute security. We will notify affected users promptly in the event of a data breach that poses material risk.

Third-Party Services

QuietMind uses third-party tools for appointment scheduling, payment processing, analytics, and communication. These include but are not limited to Razorpay (payments), Google Analytics (analytics), and WhatsApp Business API (communications). Each operates under its own privacy policy. QuietMind is not responsible for third-party data handling practices beyond the instructions we provide.

Your Rights

Under applicable law, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate information
  • Request deletion of your data where legally permissible
  • Withdraw consent for marketing communications at any time
  • Request a copy of your data in a portable format
